JEOL is a global leader in electron microscopy, analytical instrumentation, and cutting‑edge scientific technologies. We are seeking a highly organised, proactive and personable Sales Administrator / Sales Coordinator to join our UK team and support our growing Sales and Applications functions.

This is a hybrid role combining core sales administration with broader coordination responsibilities across tenders, marketing, events and customer operations. You will be a central point of contact across the sales organisation, ensuring smooth processes, exceptional customer experience, and seamless internal communication.

Key Responsibilities

Sales & Demonstration Support

  • Coordinate all customer demonstrations and site visits, including schedules, travel details, dietary requirements, and liaison with reception and catering.
  • Maintain accurate demonstration calendars and room bookings.
  • Prepare applications reports, demo documentation and follow‑up materials.
  • Handle inbound enquiries, log details, and allocate them appropriately.

Administrative Operations

  • Maintain stock of brochures and promotional materials for the sales team.
  • Ensure all internal forms and records (COSHH, demo forms, training certificates etc.) are completed, filed and accessible.
  • Support meeting preparation: agendas, minutes, materials and logistics for internal and external meetings (e.g., Quarterly Sales Meetings).
  • Manage the shared sales inbox when required.

Tender & Documentation Coordination

  • Monitor and identify invitations to tender relevant to JEOL’s product portfolio.
  • Prepare and assemble tender submissions, ensuring compliance with JEOL branding, formatting and documentation standards.
  • Coordinate with Sales Managers and Applications Specialists on technical and commercial sections.
  • Maintain tender templates and assist with updates provided by the Marketing Manager.

CRM, Customer Follow‑Up & Data Management

  • Update Salesforce CRM with enquiries, leads, visit details and customer notes.
  • Support the  Sales Director with follow‑up checks on customers post‑installation, ensuring high satisfaction and capturing outstanding needs in coordination with the customer and JEOL Service.

Marketing & Events

  • Assist with workshops, seminars, user meetings, webinars and other events.
  • Support marketing-led tasks such as mailing lists, collateral preparation and event logistics.
  • Contribute to JEOL’s presence at industry conferences and exhibitions.

Cross‑Department Collaboration

  • Work closely with Sales, Applications, Marketing, Purchasing/Logistics and Service teams.
  • Provide administrative support for shipments, purchase orders and loan-equipment processes.
  • Help maintain efficient communication flow between departments.
  • Support all internal and external meetings within the department, including preparation of Agenda, minutes, room bookings, refreshments and logistics.

 

Skills & Experience

Essential

  • Strong organisational and multitasking ability.
  • Excellent written and verbal communication skills.
  • Confident liaising with customers, suppliers and internal teams.
  • Experience in administrative, coordination or customer‑facing roles.
  • Strong Microsoft 365 capability (Outlook, Word, Excel, Teams).
  • Ability to manage multiple deadlines with accuracy and attention to detail.

Desirable

  • Experience with Salesforce CRM or equivalent.
  • Experience with tenders/procurement documentation.
  • Exposure to scientific instrumentation, laboratories, or technical industries.

JEOL is a global leader in electron microscopy and analytical instrumentation. We are looking for an experienced, organised and commercially driven Sales Manager to lead our UK sales activity for electron microscopy, NMR and Mass Spectroscopy products; supporting a high‑performing team across the UK/Ireland and distributor territories (Israel and Sub-Saharan Africa through South Africa).

You will set direction, develop people, strengthen key accounts and ensure we consistently deliver against annual revenue, margin and pipeline targets.

Reporting to the Sales Director, you will work closely with the Managing Director and colleagues in Applications, Service, Product Management and Marketing to shape and execute the sales strategy. You will coach and support the sales team, drive strong forecasting and CRM discipline, and act as an escalation point for complex opportunities and tenders.

This is a hands‑on leadership role for someone who can combine technical credibility in electron microscopy with structured sales management and a consultative approach to customers.

 

Key Responsibilities

  • Strategy & planning: define and execute the sales strategy to achieve revenue, margin and growth objectives across the UK and distributor territories.
  • Team leadership: lead, coach and develop the sales team; set clear expectations, build capability and create a high‑performance culture.
  • Pipeline & forecasting: drive timely, accurate forecasting, reporting and CRM (Salesforce) discipline; maintain strong opportunity qualification standards.
  • Sales execution: oversee the end‑to‑end sales process from prospecting through demonstrations, quotations, tenders and contract close; provide hands‑on support on complex deals.
  • Customer relationships: strengthen and grow key accounts; ensure high‑quality customer engagement and long‑term satisfaction.
  • Market development: identify and pursue new opportunities across academia, industry, clinical research and government; keep customers informed on new products and upgrades.
  • Cross‑functional delivery: partner with Applications, Service, Marketing and Product Management to plan demonstrations, deliver installations and provide excellent after‑sales support.
  • Technical leadership: stay current with developments in materials and life science electron microscopy and help shape training and marketing content.

 

Key Accountabilities

  • Deliver the annual sales plan, including revenue, margin, pipeline and forecast accuracy targets.
  • Build and maintain senior‑level relationships with key customers and stakeholders; take ownership of customer satisfaction and retention.
  • Ensure high standards of opportunity qualification, tender responses and commercial governance across the team.
  • Maintain accurate, up‑to‑date records in Salesforce and ensure the team meets agreed CRM and reporting expectations.
  • Coordinate effectively with Applications and Service to ensure excellent demonstrations, delivery, installation and after‑sales support.
  • Provide timely updates and performance reports to the Sales Director and Managing Director.

 

About You

  • Proven experience leading technical sales teams, ideally within electron microscopy.
  • Strong technical credibility and the ability to hold consultative discussions with researchers and technical decision‑makers.
  • Demonstrated capability in forecasting, pipeline management and CRM discipline (Salesforce experience preferred).
  • Confident communicator who can influence across functions and represent JEOL professionally with customers and partners.
  • Proactive, resilient and well organised, with the ability to prioritise effectively and manage multiple opportunities at once.

The Team

You will become a part of the JEOL UK service team, dedicated to servicing and providing technical support for our range of electron microscopes. You can expect to be travelling extensively for training and customer visits, especially during the first year. You will be home-based and will work remotely with support from UK, European, and Japanese engineers.

What We Expect

- It is essential that you are eligible to work and reside in Ireland
- Fluent in English
- A suitable qualification in a relevant engineering or science subject
- A background in electronic engineering and hands on experience of working with electronic boards is advantageous.
- Independent, service-minded and educational in the approach towards customers.
- Travel to support customers throughout Ireland and other areas covered by JEOL UK, as required.
- Full clean Driving license

What You Will Do

JEOL instruments are famously robust, but as the uptime of the instrument is critical to our customers, you are expected to be able to:

- Provide a speedy response.
- Assure the highest level of customer experience. 
- Perform field service activities, including on-site installations, upgrades, preventive maintenance and system repairs.
- Instruct customers in the use of their instruments to ensure safe and effective operation.
- Provide proactive and responsive technical remote support, ensuring that our customers are successful in the use of their instrumentation.
- Log all job details with the office via our customer support administrators and complete the corresponding service reports with any supporting documentation. 
- Perform all duties in accordance with the company’s safety policy and the customer’s local safety rules.
- Work towards the future development of the company management system thus ensuring recognition of the international standard ISO9001.
- Coordinate your own work schedule with direct colleagues, service operations and management.
- Maintain a personal and local spare parts inventory for consumable parts.
- Work closely with the JEOL Sales Executive in Ireland.
